Summary:

The Office Manager will play a key role in supporting the daily operations of our Portugal office. You will be responsible for ensuring administrative efficiency, supporting local HR and finance tasks, coordinating facility needs, and assisting the local team in logistical and organizational matters. This is a hands-on role suited for someone who is detail-oriented, adaptable, and thrives in a dynamic, small-office environment.

Key Responsibilities:

  • Defining project goals, objectives, and scope, and creating detailed project plans

  • Managing and coordinating all project work

  • Responsible for timely installations in our customers, from order to final installation

  • Ensuring that team members and task owners complete all project tasks according to the schedule

  • Allocating and managing resources (personnel, budget, materials) effectively

  • Developing a detailed project plan

  • Ensuring resource availability and allocation

  • Creating and managing project schedules, setting deadlines, and tracking progress

  • Cooperation with Envipco factories

  • Cooperation with warehouse, transportation and customer location

Job requirements

  • Experience with project management and coordination and development of large projects

  • Excellent interpersonal and communication skills

  • Experience in international and intercultural cooperation

  • Ability to multitask

  • Highly self-motivated person

  • Strong eagerness to learn

  • Proficiency with Microsoft Office and Service Reporting tools

  • Excellent planning and time management skills

  • Ability to build partnership-based business and interpersonal relationships

  • Highly organized and detail oriented with a positive attitude

  • Fluent in Portuguese and English language skills
